“The RPA initiative for AP Process involved automation of full extent of non-trade invoice entry, new vendor creation and running of payment process, which was traditionally managed by 2 finance personnel on a full-time basis. The traditional process was laborious, repetitive and finance personnel were required to learn and be fluent in our enterprise system (Oracle Peoplesoft).”
Challenges Faced
“The traditional process makes it very challenging when we have turnover of personnel and replacement personnel were not able to learn and pick up the AP process and system as fast and as expected, thus leaving performance gap during the changeover of personnel where data entries become less accurate; backlogs were created, and stakeholders became dissatisfied.”

“Since we implemented the RPA for the AP Process, we experienced huge improvement in the following aspects:
1) Improved and consistent speed – we saved 55 man-hours per month in data entry, representing 50% increase in speed of transaction processing;
2) Improved and consistent accuracy – we are almost 100% accurate in our transaction input, this is demonstrated by almost 100% drop in complaints from our internal customers;
3) Personnel productivity had at least doubled – one out of two finance personnel remained to monitor the digital robot and perform higher value tasks such as engaging with and problem-solve for our stakeholders. We deploy the other finance personnel in other more critical and value add area;
4) Expanded capacity – there is still capacity in the OrangeBot that we have planned for future projects. our future plan involves expanding the robotic automation into different areas in finance as well as areas reaching outside of finance e.g., one of the current projects involves automating manual processes in IMU Human Resources Department. The expanded capacity will translate into higher return on investment (on RPA).”
