Background
An institution of higher education requires to evaluate faculty members’ teaching and course content feedback from students for continuous improvement initiatives.
Manual Process Before OrangeWorkforce RPA:
- PIC prepare the evaluation schedule for all programs, cohort and lecturers
- PIC check the date to activate Survey and proceed to create the survey in Survey Monkey
- PIC regularly checks on survey to get the response rate
- PIC regularly check the date to close and collecting response from survey. Thereafter prepare the necessary reports and send to respective lecturers.
Automated Process with OrangeWorkforce RPA:
- Bot daily check on a schedule to kick start the survey creation based on (survey) activation date, cohort, program, faculty and others info.
- Bot go to Survey Monkey website to create the evaluation (survey) based cohort, program, faculty(ies) and form of survey (type of questions).
- Upon completion, bot will send the survey according to each cohort’s students listing.
- Bot will prepare the email content according to the specific format with instructions to complete survey at Survey Monkey.
- Bot will get the response rate of survey, 7 days after its initiated and email to PIC.
- Based on the response rate, PIC may/ may not amend the survey closing date.
- Bot daily check if any surveys need to be closed based on the closing date in the schedule.
- Bot go to Survey Monkey website to execute the survey closing for specific cohort/ program. Bot will process the survey report and download save in specific folders according to each cohort/ program and faculty.
